Position Summary:
The Supply Chain Officer is responsible for managing local procurement and small foreign procurement (valued below $5,000) while ensuring seamless customs clearance for all international purchases. This role requires efficient coordination with suppliers, logistics providers, and customs clearance agencies to secure goods and services cost-effectively and on time. The officer ensures compliance with regulatory requirements and maintains accurate procurement and customs documentation.
Key Responsibilities:
Local Procurement
- Identify, evaluate, and engage local suppliers to fulfill procurement needs.
- Negotiate terms, pricing, and delivery schedules with local vendors.
- Prepare and issue purchase orders for local purchases.
- Monitor and analyze market trends to source cost-effective and reliable suppliers.
Small Foreign Procurement
- Handle the procurement of goods and services from international suppliers, valued below $5,000.
- Research and assess foreign vendors for quality, reliability, and competitive pricing.
- Prepare and manage procurement documentation for international purchases, including invoices, shipping documents, and payment records.
- Coordinate with freight forwarders and logistics partners to arrange shipping and delivery.
Customs Clearance Management
- Liaise with customs clearance agencies to ensure timely and compliant processing of shipments.
- Provide all necessary documentation for customs clearance, including commercial invoices, packing lists, and certificates of origin.
- Track the status of shipments and resolve any issues or delays related to customs.
- Stay updated on customs regulations, import/export duties, and compliance requirements.
Vendor & Supplier Coordination
- Build and maintain strong relationships with local and international suppliers.
- Evaluate supplier performance based on quality, delivery timelines, and cost-effectiveness.
- Resolve supplier disputes and ensure smooth procurement processes.
Documentation & Compliance
- Maintain accurate records of all procurement activities, including purchase orders, customs documentation, and delivery receipts.
- Ensure compliance with company procurement policies, ethical standards, and regulatory requirements.
- Prepare regular reports on procurement performance and customs clearance activities.
Collaboration & Support
- Collaborate with internal departments to understand procurement priorities and requirements.
- Work closely with the logistics and inventory teams to ensure goods are received and processed efficiently.
- Support the development and implementation of procurement strategies to enhance operational efficiency.
- bachelorβs degree in supply chain management, Procurement, Business Administration, or a related field.
Experience:
- 3-5 years of experience in procurement, including foreign purchasing and customs clearance.
- Familiarity with local and international supplier markets.
Skills:
- Strong negotiation and communication skills.
- Knowledge of import/export regulations, customs clearance procedures, and documentation.
- Proficiency in Microsoft Office and procurement software or ERP systems.
- Attention to detail and organizational skills.
