Main Duties & Responsibilities
Â
•  Answer, screen and transfer inbound phone calls
•    Receive and direct visitors and clients
•    General clerical duties including photocopying, fax and mailingÂ
•    Retrieve documents from filing system
•    handle requests for information and data
•    resolve administrative problems and inquiries
•    prepare written responses to routine enquiries
•    prepare and modify documents including correspondence, reports, drafts, memos and emailsÂ
•    schedule and coordinate meetings, catering, appointments and travel arrangements for managers or CEO/Deputy CEO.
•    prepare agendas for meetings and prepare schedulesÂ
•    Greet people entering organization
•    Record, compile, transcribe and distribute minutes of meetingsÂ
•    Open, sort and distribute incoming correspondence or Document Â
•    maintain office supply inventories Â
•    Control inventory relevant to reception area
•    Tidy and maintain the reception areaÂ
•    coordinate maintenance of office equipment

Education and Experience
•    BA Degree in Management, Economics, Marketing or other social related Fields with 2- 5 years of work experience in similar role.Â
•    Experience of using relevant software and excellent computer skills. Â
•    Experience and Knowledge of standard office equipment.Â
•    Experience of clerical and administrative procedures and systems such as filing and record keeping
•    knowledge of principles and practices of basic office management
•    Experience in the Logistics industry is preferable
