Summary of duties:
Under close supervision of the Customer Service Head carries out financial and administrative related duties of the tender preparation team efficiently and effectively and supports the development and implementation of tender plans designed to drive tender business objectives.Â
Detailed Job description:
-
Searches relevant tender notices in newspapers and online.Â
-
Buys or downloads tender documents.
-
Summarizes and communicates important points of the tender notices to senior management.
-
Prepares bill of quantity from the tender documents.
-
Prepares cost sheets and financial proposal as per the bill of quantity and requirement for tender submission.
-
Arranges bid securities for tender.
-
Follows and verifies the preparation, correctness, and completeness of the tender documents as per requirement for tender submissionÂ

Verifies supporting documents for financial proposal and ensures they are correct.
-
Prints and packs the tender documents as per tender submission requirements.
-
Submits tenders online and/ in Person.
-
Follows up tender evaluation status.

Facilitates the signing of the sales contract.
-
Arranges performance bond.
-
Collects price data from existing and potential suppliers.
-
Collects and updates freight tariffs from Ethiopian Shipping and Air Lines.
-
Maintains and updates price data in soft copies.
-
Maintains and updates short list of approved suppliers.
-
Prepares proforma invoices as per the approved price list of the company and with the consultation of the Customer Service Head.

Collects back CPOs after tender award/result is officially declared.

Collects price data and other tender information from competitors.
-
Maintains tender files starting from tender notices up to tender awards.

Prepares tender status reports, monthly, quarterly, and annually.

Performs other duties related to the job as required by the immediate supervisor.

BA Degree, in accounting, management, marketing, or related fields
Work Experience:

6 years experience in tender document preparation or procurement
