Job Summary
The Sales Administrator plays a pivotal role in supporting the commercial department by managing settlements, attending weekly commercial meetings, handling a wide array of administrative tasks, answering the customer service hotline, managing the related tasks and logs, processing sales orders for up-country markets, and processing promotional crate documentation. This position requires a detail-oriented, organized, and proactive individual capable of managing multiple tasks efficiently while supporting the strategic objectives of the commercial team.
Key Responsibilities
Meeting Coordination and Documentation
- Attend all weekly commercial meetings, taking comprehensive notes and documenting decisions and action items.
- Coordinate all commercial meeting schedules, send reminders, prepare agendas, and distribute materials in advance of meetings.
- Follow up on action items and ensure timely execution by coordinating with relevant department members.
Settlements and Financial Administration
- Oversee the processing of settlements, ensuring accuracy and timeliness in all transactions.
- Liaise with finance and sales teams to resolve any discrepancies or issues related to settlements.
- Assist in preparing financial reports and analysis related to sales performance as required.
Customer Service Hotline Management
- Answer the customer service hotline, addressing customer inquiries and resolving issues promptly.
- Manage and log all tasks arising from customer interactions, ensuring accurate record-keeping and follow-up.
Sales Order Processing
- Process sales orders for up-country markets, ensuring accuracy and timely delivery.
- Coordinate with logistics and warehouse teams to manage order fulfillment efficiently.
Promotional Crate Documentation
- Handle the processing of promotional crate documentation, ensuring all paperwork is complete and accurate.
- Liaise with the marketing and promotions team to coordinate the distribution of promotional materials.
Administrative & Travel Support
- Where necessary, manage the Chief Commercial Officer’s calendar, including scheduling appointments, meetings, and travel arrangements.
- Handle correspondence, prepare communications, and assist with the preparation of presentations and reports for the commercial team.
- Maintain and organize digital and physical files for the commercial department, ensuring confidentiality and easy access to information.
- Support in organizing and administering all travel by members of the commercial department.
Project and Task Management
- Assist with the coordination and management of commercial projects, ensuring deadlines are met and objectives are achieved.
- Serve as a point of contact for internal and external stakeholders on administrative matters, facilitating smooth communication and operations within the commercial department.
Qualifications
- Bachelorβs degree in Business Administration, Finance, or a related field.
- Proven experience in an administrative role, preferably within a sales or commercial environment.
- Exceptional organizational skills and attention to detail.
- Strong note-taking and documentation skills with the ability to summarize information clearly and accurately.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with CRM software.
- Ability to manage multiple tasks and projects simultaneously in a fast-paced environment.
- Discretion and confidentiality in handling sensitive commercial information.
