Cooperazione Internazionale (COOPI) is an international Italian NGO established in 1965. Since its establishment, COOPI has been undertaking activities to help and empower the poor and needy in different countries. COOPI Ethiopia started its operation in 1995 and has been primarily implementing emergency, relief and early recovery programs in water hygiene and sanitation, food security and livelihood, nutrition and protection sectors. 

COOPI is currently implementing 10 projects in Ethiopia focusing on WASH, Livelihood and Shelter managing 7 field bases and a staff of over 100 employees.

COOPI is looking for qualified and competent Program coordinator to be based in Addis Abeba, he/she will ensure technical support to Project managers and the coordination office in his/her competence, by evaluating and capitalizing the experience produced in the country and by standardizing the approaches, in line with the organization’s approaches and policies. He/she will refer to the Head of Programs and will collaborate with programs department in the development, management and evaluation of the project of his/her competence.

Duties and Responsibilities:

Key Activities/Responsibilities

Planning

  • Support the preparation and consolidation of Regional agreement for all the projects.
  • Support the organization of the internal kick-off meeting at the beginning of every grant
  • Support the consolidation of the M&E Plan for all the projects and activities, with the leading role of the MEAL Coordinator.
  • Receive, review, consolidate and share monthly plans for activities implementation
  • Support the organization of the internal project monitoring and evaluation plans of every project in collaboration with MEAL Coordinator
  • Support the PMs with the preparation of preppy and DIP in collaboration with the Head of Programs.
  • Support the PM on the preparation, approval and implementation of weekly plans.
  • Support on the capacity building activities 

Implementation

  • Support the PM when needed to solve managerial issues faced and link with administration and operations department (logistic, HR, transport, procurement, etc.)
  • When needed report and link urgent issues to the Head of Programs (HoP), Area Coordinators and Head of Mission (HoM). 
  • Provide technical support to the PM in the country. He/she makes projects evaluation and on field support missions.
  • Organize ad-hoc monitoring field visits with the Head of Programs, Area Coordinators and MEAL Coordinator.
  • Support the PM for the overall follow up of all contractors and IP
  • Support the validation of project M&E data. In collaboration with Head of Programs and MEAL Coordinator, enhance internal learning within the Programs department. 
  • Support the organization of the internal project closing meeting at the end of every project 
  • Support the PMs with the preparation and revision of activities’ TORs in collaboration with the Head of Programs.
  • Identify  and organize  capacity building section based on findings 
  • Organize COOPI filing and learning for project development
  • Revise and approve monthly report and share them with the Head of Programs and the Area Coordinators.
  • Receive and analyse financial reports and compare them with the monthly reports.
  • Report any gap or challenges based on the activity reports.
  • Request for ad-hoc inputs from the PM. If needed request weekly reports.
  • Prepare the monthly priority tab based on monthly reports and project financial forecast.
  • Maintain the project reporting table and advise the PM on the required reporting.
  • Consolidate all required draft reports using data from M&E, monthly reports and technical reports received by the PM.
  • Require support from the advisory group for any technical aspects related to the reporting.
  • Ensure that all the reports are submitted to the HoP for final delivery to the donor or HQ.
  • Lead in organizing grant closing meetings for every closed grant. Actions points are taken and included in the planning for department file.
  • Work on the Activity Info reporting platform for each clusters 
  • Actively attend federal cluster meetings related with his/her sector of expertise, report and present information gathered during the meetings to Program Department
  • Prepare all reports requirements from clusters of operation (4/5Ws, ad-hoc, etc.)
  • Work on localization to identify potential local partners.
  • Standardize the collection of information from stakeholders and PM.  
  • Plan and implement needs assessments
  • Provide ad-hoc inputs for proposal development
  • Archiving project related documents and make ready to use during proposal writing.

Qualification and Experience

  • Academic Degree in Agriculture, Rural Development, Disaster Risk Reduction, Disaster Risk Management as well as in other relevant sectors
  • A minimum of 10 years of relevant working experience 
  • Proven capacity to work in a team is essential. Experience in managing staff.
  • Knowledge of humanitarian standards and protection principles 
  • Respect of humanitarian principles; ability to work in relocate areas 
  • Previous experience working in INGO.
  • Experience facilitating relationships between Nongovernmental organization and government.
  • Ability to work well within a team and take responsibility to deliver results.
  • Fluency in written and spoken English, Amharic and knowledge of other local language is an advantage
  • Excellent interpersonal, communication and presentation skills
  • Knowledge of working area will be preferable
  • Respect culture; believe of diverse ethnic and traditional set up.

Preferred:

  • Experience in liaising with governmental/local authorities, IOs and NGOs.
  • Good knowledge of Italian is an asset
  • Demonstrated ability to work in stressful environments and under pressure.
  • Have proven experience in working on resilience and DRR programming in Ethiopia

Salary: Gross Salary 135,836 ETB
