General Objective of Post 

The Finance & Administration Head will be responsible for managing the finance and administration functions of the organization. This includes cash flow management, funder claims, expense processing, supplier payments, and day-to-day financial operations. The role also entails handling general administrative tasks under the guidance of the General Manager.

Objective 1: 

•    Prepare and monitor budgets, forecasts, and financial models.
•    Ensure accurate and timely preparation of financial statements and reports.
•    Present financial performance analyses to stakeholders and management.
•    Ensure compliance with financial regulations, tax laws, and organizational policies.
•    Oversee audits and address any findings.
•    Identify, assess, and mitigate financial risks.
•    Monitor and manage cash flow to ensure liquidity.
•    Oversee investments, loans, and fund management.
•    Implement measures to control costs and improve efficiency.
•    Analyse financial data to identify areas for cost reduction.
•    Supervise finance staff and ensure their professional development.
•    Set performance objectives and provide feedback.

Objective 2: 

Administrative Duties

•    Ensure alignment with organizational goals and compliance with legal requirements. 
•    Oversee day-to-day administrative operations, including building management.
•    Manage vendor relationships and procurement processes.
•    Ensure optimal allocation of resources (e.g., equipment, supplies, and facilities).
•    Oversee maintenance and facility management.
•    Collaborate with general manager for workforce planning, recruitment, and employee relations.
•    Manage payroll and benefits administration.
•    Maintain organizational records, including contracts, licenses, and compliance documents.
•    Ensure data security and confidentiality.

Objective 3:

Stakeholder Engagement Duties

•    Internal Collaboration: Work with other departments to align financial and administrative processes with organizational objectives.
•    External Relations: Engage with banks, regulatory bodies, and other stakeholders on financial and administrative matters.
•    Take on additional responsibilities as needed to address organizational gaps.
 

Qualification

  • Education: BA in Accounting & Finance or related fields.
  • Experience: Minimum of 5 years of relevant work experience with a proven track record of efficiency and effectiveness.

Required Skills

Good working knowledge of communication technologies (MS-Office, phone, email, the internet), strong analytical skill, good oral and written communication skill, decision making skill, problem-solving skill, ability to work to deadlines
