Job Summary: 

Equipment Administration & Fleet Management Officer is responsible for administering construction equipment and fleet management (light vehicles, trucks & heavy machineries). The Officer is responsible for efficient and effective utilization of the Company’s equipment and vehicles both at Head Office and project sites.

Main duties and responsibilities:

  • Manages the company’s construction equipment and fleet management as per the Company’s policies and procedures. 

  • Ensures implementation of equipment management Systems for the efficient usage, operation and replacement of equipment.

  • Establishes and operates an equipment movement and transfer control system.

  • Assists in establishing guideline for the calculation of lease or rental rates and their periodic revision.

  • Monitors and compares actual costs against rental rate. 

  • Handles lease and rental agreements and their periodic revision in consultation with the management team. 

  • Manages light vehicles fleet management as per users demand and fleet schedule. 

  • Coordinates the proper collection of revenues from leased and hired equipment.

  • Reviews and analyses all technical reports in connection with equipment usage and provides summarized reports to his immediate supervisor. 

  • Assists in developing equipment requirements and prepares recommendations of cost estimates and specifications for equipment needs. 

  • Advises users on equipment performance, characteristics, usage, inspection or special maintenance needs.

  • Assists management in the establishment of criteria and policies for replacement and disposal of old or obsolete equipment that are beyond economic repair use. 

  • Renders technical advice and guidance to field equipment operators and maintenance personnel on complex operational and maintenance problems.

  • Provides technical assistance and professional guidance or instructions to technicians and operators.

  • Allocates and controls equipment and vehicles at HQ, Central Garage, & Projects. 

  • Assesses, prepares and submits to suppliers all claims subject to warranty terms within the period stipulated under the equipment /vehicle Warranty Agreement.

  • Handles the investigation of accidents involving the Company’s vehicles and equipment, identify the root cause and costs incurred and submits reports on time.

  • Compiles & consolidates all vehicle and equipment owning & operating costs and complete cost analysis; and report the same. 

  • Collects & complies equipment working hours and trips and records on ERP system

  • Compiles consolidate all performance data and complete its analysis.

  • Manages centralized pool of surplus & special purpose equipment for short-term rental. 

  • Maintains an accurate inventory of all equipment, ensuring that records are up to date and properly documented.

  •  Stay updated on industry trends and best practices related to equipment and vehicles implementing new technologies as appropriate.

  • Coordinates and controls vehicle’s service by developing schedule based on priorities of tasks.

  • Facilitates the provision of efficient transportation service depending on the requirements of the activities and ensures that vehicles are properly handled and maintained regularly.

  • Ensures that logbooks are completed, and transport service is provided by drivers as per the transport service guide.   

  • Ensures that all company’s vehicles have insurance coverage and follows up its timely renewal.

  • Facilitates annual inspection for all vehicles & motorbikes.

  • Facilitates collection of necessary documents for notification in case of accident.

  • Manages operations of light vehicle transporting service and safety and health issues in consultation within HR and Admin department. 

  • Prepares periodic reports (weekly, monthly, quarterly, and yearly sales activities) and submit to the Department Manager.

  • Performs other similar activities as assigned by Equipment Department Manager.

Qualification and Experience:

MSc / BSc degree in in Mechanical Engineering / and other related field of studies with a minimum of 3/5 direct work experience in Equipment Administration & Fleet Management.

  • Proven equipment administration and managerial skills 

  • Fleet management and leasing 

  • Familiarity with transportation scheduling and management software

  • knowledge on basic engineering software & ERP system 

  • Excellent verbal and written communication skills
