Job Description: – 

Under the supervision of the General Manager, the incumbent shall be responsible for:

  • Conducting basic secretarial services such as handling telephone calls, writingI letters, memos, etc

  • Scheduling meetings

  •  Escorting visitors to staff members’ offices, along with providing hospitality service arrangements  as appropriate 

  •  Ensuring timely delivery and receipt of important information to staff members or external clients  while maintaining confidentiality. 

  • Assisting in preparation of materials required for marketing purposes 

  • Assisting in preparation of, proforma invoices, price quotations and tender documents while

  •  maintaining highest degree of confidentiality

  • Making domestic and international travel arrangements for staff members

  • Maintaining electronic records management system for all incoming and outgoing correspondences 

  • Coordination of dispatching of vehicles and ensuring their timely maintenance is carried out by 

  •  recording distance traveled and as appropriate if emergency repairs are required

  • Maintaining records of fuel consumptions of vehicles

  • Renewal of business license, insurance policies, vehicle license plates, etc

  • Keeping records of employees’ attendance

  • Maintaining personnel files including renewal of employees’ contracts

  • Receiving employment applications and ensuring that actions are taken, keeping roster of applicants

  • for future recruitments

  • Ensuring preventive & corrective maintenance of office machines & equipment

  • Ensuring availability of office supplies in stock

  • Keeping records of annual leaves & sick leaves of employees

  • Supervision of Drivers, Cleaners, Guards, Gardeners

  •  Cleanliness of office environment 

  • Other miscellaneous financial activities as appropriate
