Job Summary
The Administrative Officer will provide strategic leadership to ensure the efficient functioning of all administrative operations, contributing to the seamless execution of daily activities. This role involves managing office facilities, resources, and staff while coordinating logistics and ensuring compliance with company policies.
Key Responsibilities
1.    Administrative Leadership & Supervision
- Provide guidance and supervision to administrative staff, ensuring tasks are aligned with company goals.
- Â Monitor and evaluate the performance of administrative personnel and conduct periodic reviews.
- Â Maintain an effective working environment by fostering collaboration between various departments.
2.    Policy Development & Implementation
- Â Develop, update, and enforce administrative policies and procedures to optimize operations.
- Â Ensure compliance with internal processes and external regulations.
3.    Office Management & Organization
- Â Â Manage office supplies, including procurement, inventory tracking, and budgeting.
- Â Â Maintain office equipment by coordinating with service providers for repairs and replacements.
- Â Â Â Organize the office layout and ensure that all working environments are safe, clean, and ergonomic.
4.    Facility Management
- Oversee daily facility operations, including maintenance, cleaning, security, and utilities management.
- Â Coordinate with vendors and service providers for building maintenance, repairs, and facility improvements.
5.    Vendor Management
- Â Identify and negotiate contracts with suppliers for office supplies, equipment, and other services.
- Â Monitor vendor performance to ensure service quality and resolve any issues that arise.
6.    Logistics & Event Coordination
- Â Â Arrange logistics for meetings, events, workshops, and catering, ensuring smooth execution.
- Â Â Prepare meeting rooms with required equipment, materials, and refreshments.
7.    Document Management
- Â Maintain accurate records and ensure proper filing, storage, and retrieval of documents.
- Implement digital and physical document management systems for efficiency.
8.    Visitor and Access Management
- Â Â Greet and assist visitors, ensuring they have a positive experience and are directed appropriately.
- Â Â Manage access to the manufacturing facility, coordinating with security to enforce protocols.
9.    Travel Coordination & Scheduling
- Â Organize travel arrangements, including booking transportation and accommodation for employees and visitors.
- Â Coordinate and manage the scheduling of meetings, appointments, and events.

Experience Required
- Minimum of 4 years of experience in administrative roles, preferably in a manufacturing or production environment

Bachelor’s Degree in Business Administration, Management, or a related field.
ÂSkills Required
Strong verbal and written communication skills, with the ability to engage professionally at all levels. Exceptional organizational skills with the ability to multitask and manage competing priorities efficiently. Attention to detail, especially in managing schedules, records, and administrative tasks related to manufacturing operations. Proficiency in Microsoft Office (Word, Excel, PowerPoint) and other office management software. Strong negotiation and vendor management skills. Ability to work independently and as part of a team, with a proactive and problem-solving mindset.
