REPORT TO: Operations and Logistics Manager
WORK LOCATION: Country Office, Addis Ababa

JOB SUMMARY
The Senior Warehouse and Asset Management Officer is responsible for managing the warehouse, stock items, and fixed asset management. Key duties include implementing efficient warehouse management practices, maintaining accurate inventory records, ensuring any materials purchased are as per the specification, maintaining and organizing proper store documentation, ensuring proper arrangement of items, and upholding quality assurance and safety protocols. This role also includes fixed asset management such as implementing asset registration, updating the asset register, conducting annual inventory, inventory management, and identifying and reporting disposable/ obsolete assets. This position also includes collaborating with other units in facilitating medical items and models for different training. By effectively carrying out these duties, the Senior Warehouse and Asset Management Officer contributes to the organization’s overall efficiency and success.
ESSENTIAL FUNCTIONS
- Ensure goods purchased are as per the specification on the purchase order
- Issue goods receiving notes and, storage, at the appropriate location
- Ensure warehouses are properly planned, setting up a layout for maximum space utilization
- Ensure all store documents are approved by the appropriate authority before issuing from stock
- Update bin card on the spot when items are issued from the store
- Ensure bin cards are posed in each item and updated regularly
- Ensure goods are properly packed and stored safely, as storage guidelines and manufacturer recommendations
- Strictly follow the minimum stock level to avoid shortages and report for refilling the stock timely
- Plan, facilitate, and coordinate timely distribution of goods to regional offices and health facilities based on approved requisitions
- Coordinate the loading and unloading, packaging process of commodities during received and dispatch
- Keep accurate and up-to-date inventory records using database systems, physical records, and tracking all transactions
- Ensure accurate record-keeping for fixed assets contains complete information on the asset database and regular physical verification
- Receive periodic warehouse reports from regional offices and prepare a consolidated warehouse report at a central level
- Ensure optimal storage conditions, including temperature control, ventilation, and cleanliness
- Ensure robust fire safety measures, including regular inspections of fire-fighting
- Ensure that equipment is in place and renewed regularly.
- Ensure warehouse security by limiting access to unauthorized personnel, maintaining vigilant security protocols, and promptly addressing any security
- incidents.
- Prepare and submit regular reports, maintain comprehensive records, and document best practices for warehouse operations and inventory management.
- Performs other related duties as required.
The applicant must meet the following requirements
- Degree in Logistics and Supply Chain Management, Pharmacy, or any other related field
- Minimum seven (6) years of work experience in warehouse and asset management, logistics, or supply chain management
- Strong knowledge of warehouse management principles and practices
- Skilled in using enterprise-level inventory management software and MS Office applications (Word, Excel, PowerPoint), with a preference for managing stock using Access
- Applicants with experience in health-related organizations in international NGOs is highly preferred.
