Job Summary:
Our client is seeking a skilled and detail-oriented Archive Manager to lead the company’s records and archives management. This role is critical in establishing and maintaining a comprehensive archiving system that safeguards both physical and digital company records, ensures compliance with data retention laws, and supports operational efficiency. The Archive Manager will lead a team dedicated to organizing, protecting, and providing timely access to vital company information.

Key Responsibilities:
Archiving System Development

  • Design, implement, and maintain a company-wide archiving policy and records management system in line with best practices and regulatory requirements.

Records Management & Digitization

  • Oversee the organization, filing, retrieval, and digitization of company documents to enhance accessibility and preservation.
  • Manage both physical archives and electronic document management systems (EDMS).

Compliance & Data Protection

  • Ensure company records comply with Ethiopian legal requirements and internal operational standards for data retention and confidentiality
  • Collaborate with legal and compliance teams to update archiving protocols as necessary.

Team Leadership & Training

  • Lead, train, and mentor archive staff on proper document handling, classification, and security procedures
  • Foster a culture of accuracy, accountability, and respect for data integrity.

Disaster Recovery & Backup

  • Develop and maintain disaster recovery plans for archived data to prevent loss or damage.
  • Coordinate regular backups and test data restoration processes.

Continuous Improvement

  • Regularly review archiving processes to identify opportunities for improvement and implement new technologies or methodologies.

Candidate Profile
Education:

  • Bachelor’s degree in Information Management, Library Science, Records Management, or related field.

Experience:

  • Minimum 1 years of experience in records management, archiving, or information governance with leadership responsibilities.
  • Proven track record of managing both physical and digital archives.

Skills & Competencies:

  • Strong knowledge of archival standards, document classification, and data protection policies.
  • Experience with electronic document management systems and digitization projects.
  • Excellent organizational and project management skills.
  • Effective team leadership and staff development abilities.
  • Attention to detail and commitment to confidentiality.
  • Good communication and interpersonal skills.
